What to have ready for a quote discussion
The details of a wedding, private party, fundraiser or other event can affect what an insurer asks. Before you contact us, gather:
- The event type, date, venue address, setup and cleanup times, and organizer’s name.
- Expected attendance, indoor or outdoor activities, vendors and any unusual attractions.
- Whether alcohol will be served, provided or sold, and who is responsible.
- The venue’s insurance clause, requested limits, required names or insured status, and document deadline.
- Any existing coverage you want reviewed and the date you hope coverage will begin.
Ask the agency how best to share contract documents and any sensitive information. A discussion does not guarantee an insurer will offer coverage or that a policy will meet a venue’s requirements.
Compare the policy details for your event
Event liability and cancellation address different risks. Ask what an available quote covers and compare the actual forms, not just the premium:
- Liability: What third-party injury or property-damage claims, locations and activities are covered? Review the limits, deductible, defense provisions and exclusions.
- Alcohol: Is host liquor liability available for the way alcohol will be provided? Ask how service by a vendor or alcohol sales affect the proposal.
- Cancellation or postponement: Is it a separate policy or an option? Check the covered causes, exclusions and purchase deadlines, including how weather or illness is treated.
- People and timing: Check the named insured, covered dates and times, setup or cleanup, vendor exclusions and any requirements that apply to your activities.
Coverage is governed by the actual policy and endorsements. The South Carolina Department of Insurance explains declarations, exclusions and conditions.
Check the venue’s paperwork requirements
A venue may ask for a certificate of insurance, particular liability limits or a specific insured status. A certificate summarizes insurance information; it does not itself amend the policy. If the venue requests additional insured or named insured status, review the policy and any applicable endorsement, and ask the venue to confirm acceptance. Requirements vary by agreement.
Special event insurance questions
Does my venue require event insurance?
Requirements depend on the venue and your agreement. Review the insurance clause for the required coverage, limits, names and documentation deadline, then ask the venue to confirm what it will accept.
Does serving alcohol change what I should ask about?
Tell the agency whether alcohol will be served, provided or sold and who is responsible. Ask whether host liquor liability is available and how the proposed policy treats alcohol, vendors and exclusions.
Does event liability insurance cover cancellation?
Liability and cancellation address different risks. Ask whether cancellation or postponement coverage is available separately or as an option, and compare the covered causes, exclusions and purchase deadlines.
